1. Who We Are
Hero Raffles ("we," "us") is a service of Technology Reflections, Inc. that provides online raffle technology to non-profit fire, EMS, and law enforcement organizations ("Sponsors"). This policy explains what we collect when you use heroraffles.com and how we use it.
2. What We Collect
- Ticket buyers: name, email address, city and state, optional phone number, optional public note, quantity purchased, and transaction details (amount, order number, last four digits of your card, and the Authorize.Net transaction ID). We never see or store your full card number - card data is tokenized in your browser and sent directly to Authorize.Net.
- Organization managers: organization details, compliance documents, manager contact info, and hashed login credentials.
- Automatically: IP address, browser type, and basic usage logs used for security and fraud prevention.
3. How We Use It
- To process ticket purchases, email your e-tickets and receipts, conduct drawings, and notify winners.
- To display the public supporter wall and winner showcase. You control your visibility: uncheck "show my name publicly" at checkout and only your City/State will ever appear publicly - including if you win.
- To share buyer information with the specific Sponsor whose raffle you entered (they need it to award prizes and, where enabled, send receipts). Sponsors may contact their buyers about that raffle - for example, winner announcements.
- To operate, secure, and improve the platform, and to comply with legal obligations.
4. What We Don't Do
- We do not sell your personal information.
- We do not share your information with advertisers.
- We do not send you marketing unrelated to raffles you entered, unless you opt in.
5. Payments
Payments are processed by Authorize.Net (a Visa solution) through the Sponsor's own merchant account. Your payment details are governed by Authorize.Net's privacy practices. We receive only transaction results - never your full card number.
6. Cookies & Sessions
We use essential session cookies to operate the site (for example, keeping managers logged in). We do not use third-party advertising cookies.
7. Data Retention & Security
Purchase and drawing records are retained as required for the Sponsors' raffle-compliance obligations. Manager passwords are stored as salted cryptographic hashes. Access to buyer data is limited to the sponsoring organization and platform administrators. Compliance documents are accessible only to the uploading organization and our review team.
8. Your Choices
- Choose anonymity at checkout to keep your name off all public pages.
- Email us to request access to, correction of, or deletion of your personal information, subject to records the Sponsor must legally retain.
9. Children
Hero Raffles is for adults 18 and over. We do not knowingly collect information from anyone under 18.
